Terms and Conditions

Europe by Choice acts as an agent for select service providers and is not responsible for any personal injury, property damage, accident, delay, inconvenience, changes in itineraries, etc.  Tours are operated by Gartour, Visit Italy Tours, Visit France Tours, Globus and Cosmos, Ciao Italy and Carrani Tours and others as necessary.

This site contains links to partner sites and booking engines.  Each affiliate has its own terms and conditions and we strongly advise you to read them carefully before making a reservation.  The Terms listed below apply only to Spain By Choice branded vacation packages and Fly/Drive programs.

Payment/Deposits:  We process all credit cards via Pay Pal and accept American Express, Visa, Master Card and Discover.  A deposit of 25% of the total price, inclusive of taxes and fees or full payment (depending on departure date) is required to confirm a reservation.  Receipt of your deposit or full payment confirms your agreement with our Terms and Conditions.  Final payment is due no later than 90 days prior to departure. If your final payment is not received by the date it is due, we reserve the right to cancel your tour.  Penalties will apply.  Some tours, airline tickets, and/or services may be billed to your credit card directly by our selected service providers.  Deposit and payment terms may vary on sale packages.

Discount Coupons/Gift Certificates: are valid only on Spain By Choice branded Vacation Packages or as specified on coupon and are not valid on other brands of tours, car rentals or merchandise on SpainByChoice.com.  Coupons are not valid on “Escape” packages.  Coupons have no cash value.  All reservations using coupons are subject to availability of the product at time of request/deposit.  Spain By Choice reserves the right to suggest alternate dates/tours/cars based on availability.  To insure your satisfaction, we suggest requesting space at least three months prior to desired date.  One coupon per passenger please.  Cannot be combined with other offers and are not valid on packages that are already discounted.  See individual coupon for expiration date.

Fuel Surcharges:  Fuel surcharges imposed by the airlines are valid at the time of printing.  If the fuel surcharge changes prior to your departure date, you may be assessed an additional amount.

Price Includes:  Airport taxes, government fees, and Sept. 11th security fees that can range from $100 to $300per person.

Price Changes:  Prices are subject to change as a result of fuel surcharge increases or currency fluctuations.  No changes will be made once final payment is received.

Documents:  Are sent as E-documents via email.  If you have not received your vouchers it is your responsibility to contact Europe By Choice at least three full business days prior to your departure date. Our office is open Monday – Friday 9a.m to 5p.m. Eastern Time.  It is the passengers responsibility to check the accuracy of your airline tickets and all other documents.  The passenger is responsible to ensure that their full name, as it appears on their passport, is provided to us at the time of booking.  Name changes or other ticket adjustments can cost $200 plus fare difference if we need to re-ticket.  The airline will deny boarding if your airline ticket or travel documents do not match your passport.  Each passenger is responsible for obtaining and carrying a passport that is valid for at least 6 months after their departure and any other documents required by government regulations. Non US and non EU residents may require special travel documents to travel to Italy.  Please check with your local embassy or consulate.

Travel Insurance:  It is strongly recommended that you take advantage of our Travel Insurance in the event you need to cancel or interrupt your tour.  You can review the policies offered by clicking on the “Insurance” tab at the top of the page.

Special Requests:  We will make reasonable efforts to meet special request.  However, they cannot be guaranteed.

Travelers Requiring Special Assistance:  Any disability requiring special attention should be reported at the time of reservation.  We will make reasonable efforts to accommodate the special needs of travelers, but are not responsible for denial of services by our suppliers. A qualified companion must accompany travelers who need individual assistance walking, dining, etc.

Luggage/Baggage Handling:  It is important to observe the rule of one suitcase per traveler on escorted coach trips.  You may be assessed a onetime fee if you exceed your allowance on a coach tour.

You may also bring one carry-on bag that complies with the airline rules and must fit under your seat or in an overhead compartment. Baggage handling, if included, begins curbside at the airport upon arrival and is limited to one bag per person.  The passenger is responsible for complying with the airline regulations concerning their baggage allowances and with the airline restrictions on the size, weight and contents of your carry-on bags. Check with your carrier for luggage guidelines.

Changes:  All changes and cancellations must be requested in writing.  All changes will incur a $50 change fee plus any additional charges for the changes made.  Changes can only be made up to  3 business days prior to your departure.

Cancellation Penalties/Refunds:  Cancellation penalties will be strictly enforced.  If you must cancel your reservation, the effective date of the cancellation will be the first weekday your cancellation notice is received by fax or email.  Cancellation charges are based upon how long before your departure date the cancellation request is received. The cancellation penalties for each tour are listed on the “Tour Details”pages.  Travel Insurance and non-refundable airline tickets (once issued) will be added to the penalty charges.

Itinerary Variations:  Every effort will be made to operate all tours as advertised.  Situations may arise that require changes that include but are not limited to the airport of departure, airlines, itinerary, hotels, tours. On these rare occasions, we reserve the right to make such modifications and substitutions as necessary.

Tour Cancellations:  We reserve the right to cancel the entire trip (or any component of the trip) for any reason.  In this event a full refund will be made.

Responsibility:  Europe by Choice is not responsible for acts or omissions of the supplier or their failure to provide services or adhere to their schedules.  Europe by Choice assumes no responsibility for, and shall not be liable for, any refund, personal injury, property damage(including damaged baggage), or other loss (including lost baggage), accident,delay, inconvenience, or irregularity which may be caused by  and defaults, wrongful or negligent acts, or omissions of the suppliers; and defect in or failure of any vehicle, craft, equipment or instrumentality owned, operated, or otherwise used or provided by the Suppliers; any force majeur, including but not limited to, acts of God, war or terrorism; or any wrongful or negligent acts or omissions on the part of any other party under Europe By Choices’ control. By making full payment for your reservation you agree to hold Europe By Choice harmless in making arrangements on your behalf and that any claim of damage, refund or credit after arrival shall be sought directly from the service provider.
